Job Requirements

  • Bachelor’s degree or equivalent experience
  • Working knowledge of Microsoft Office Suite
  • Experience with venue scheduling and diagram software
  • Understanding of event planning and production
  • Familiarity with campus policies and community resources
  • Effective judgment and problem-solving skills
  • Knowledge of safety and security regulations
  • Ability to work with diverse populations
  • Customer service experience
  • Strong communication skills
  • Organizational and multitasking ability
  • Ability to work flexible hours including weekends and holidays
  • Ability to occasionally lift over 25 lbs
  • Successful background check completion
  • Mandated reporter training and compliance

Job Qualifications

  • Bachelors degree in related field or equivalent experience and training
  • Proficient with Microsoft Office Suite including Word, Excel, Outlook
  • Experience using Venue Scheduling Software (EMS) and Venue Diagram Software
  • Knowledge of event planning principles, public relations, and budget development
  • Familiarity with campus programs, policies, mission, and infrastructure
  • Strong judgment and decision-making skills
  • Knowledge of crowd control, safety, security, and building codes
  • Ability to work with diverse groups including students, staff, faculty, and production personnel
  • Experience in operating a student union or multi-purpose facility
  • Ability to work under pressure and meet tight deadlines
  • Excellent interpersonal and communication skills
  • Strong organizational abilities and multitasking
  • Proven teamwork and collaboration skills
  • Experience training and motivating student part-time employees

Job Duties

  • Plan and organize events such as trade shows, concerts, conferences, dances, symposiums, night markets, and VIP events
  • Advise on special events for University Centers and Student Life
  • Arrange all event requirements specified by facility users
  • Ensure University Centers meet terms of each reservation contract
  • Meet with facility users to collect and communicate event details
  • Coordinate event space setup per specifications
  • Be on-site during events to oversee client needs and service quality
  • Manage accounts receivable related to events
  • Track and report on event data and feedback to improve service quality
