Job Requirements
- Must reside in or near Newport Beach, California or be willing to relocate
- Bachelor’s degree preferred
- Minimum of 3 years of experience in event planning or related roles
- Ability to manage multiple projects simultaneously
- Strong interpersonal and stakeholder management skills
- High level of professionalism and attention to detail
- Ability to work flexible hours including occasional evenings or weekends

Job Duties
- Partner closely with the VP of OD/Culture to translate organizational values into event experiences
- Develop detailed event plans, project timelines, and run-of-show documents for in-person, virtual, and hybrid events
- Anticipate attendee needs and plan contingencies for seamless event execution
- Serve as primary contact for event-related communication
- Manage updates, confirmations, and changes with professionalism
- Coordinate invitations, RSVPs, attendee communications, agendas, and materials
- Assist in developing and managing event budgets
- Research, source, negotiate, and manage vendors
- Track expenses, reconcile invoices, and provide budget updates
- Oversee event setup, execution, and teardown
- Troubleshoot issues calmly to maintain event quality
- Collect and analyze post-event feedback
- Prepare reports and maintain organized event documentation
