Job Requirements

  • Must reside in or near Newport Beach, California or be willing to relocate
  • Bachelor’s degree preferred
  • Minimum of 3 years of experience in event planning or related roles
  • Ability to manage multiple projects simultaneously
  • Strong interpersonal and stakeholder management skills
  • High level of professionalism and attention to detail
  • Ability to work flexible hours including occasional evenings or weekends

  • Proficient with event management software and tools

Job Duties

  • Partner closely with the VP of OD/Culture to translate organizational values into event experiences
  • Develop detailed event plans, project timelines, and run-of-show documents for in-person, virtual, and hybrid events
  • Anticipate attendee needs and plan contingencies for seamless event execution
  • Serve as primary contact for event-related communication
  • Manage updates, confirmations, and changes with professionalism
  • Coordinate invitations, RSVPs, attendee communications, agendas, and materials
  • Assist in developing and managing event budgets
  • Research, source, negotiate, and manage vendors
  • Track expenses, reconcile invoices, and provide budget updates
  • Oversee event setup, execution, and teardown
  • Troubleshoot issues calmly to maintain event quality
  • Collect and analyze post-event feedback
  • Prepare reports and maintain organized event documentation
