Job Requirements
- Bachelor's degree in communications, marketing, business or events related field
- 2-3 years of relevant work experience
- Proficient in Word, Excel, PowerPoint, and Outlook
- Ability to multitask with overlapping deadlines
- Excellent oral and written communication skills
- Exceptional interpersonal skills
- Outstanding customer service skills
- Ability to work independently with minimal supervision
- Availability to work evening and weekend hours during event periods

Job Duties
- Assist in planning and execution of seven commencement ceremonies held in the spring
- Create timelines and checklists for event responsibilities
- Develop relationships with school and college liaisons and vendors
- Collect content and assist in proofreading for accuracy and flow
- Maintain and upload data into event management systems
- Update departmental website with commencement information
- Prepare binders for production briefs and maintain schedules
- Support event set-up and breakdown and transport materials
- Serve as on-site lead and contact during events
- Coordinate signage, accessibility needs, parking, and security
- Monitor and track revenue and expenses
- Complete month-end account reconciliations
- Process purchase orders and ensure vendor payments
- Provide customer service regarding commencement inquiries
- Communicate with faculty and staff about ceremonies
- Prepare reports based on sales and surveys
- Use university systems for vendor invoicing and facility requests
- Manage department phone, email, and calendar
- Maintain workspace and inventory
- Schedule and coordinate meetings and agendas
- Order office supplies
- Perform other assigned duties
