Job Requirements

  • Bachelor's degree in communications, marketing, business or events related field
  • 2-3 years of relevant work experience
  • Proficient in Word, Excel, PowerPoint, and Outlook
  • Ability to multitask with overlapping deadlines
  • Excellent oral and written communication skills
  • Exceptional interpersonal skills
  • Outstanding customer service skills
  • Ability to work independently with minimal supervision
  • Availability to work evening and weekend hours during event periods

  • Strong multitasking skills in a fast-paced office

  • Bilingual in English and Spanish is a plus

Job Duties

  • Assist in planning and execution of seven commencement ceremonies held in the spring
  • Create timelines and checklists for event responsibilities
  • Develop relationships with school and college liaisons and vendors
  • Collect content and assist in proofreading for accuracy and flow
  • Maintain and upload data into event management systems
  • Update departmental website with commencement information
  • Prepare binders for production briefs and maintain schedules
  • Support event set-up and breakdown and transport materials
  • Serve as on-site lead and contact during events
  • Coordinate signage, accessibility needs, parking, and security
  • Monitor and track revenue and expenses
  • Complete month-end account reconciliations
  • Process purchase orders and ensure vendor payments
  • Provide customer service regarding commencement inquiries
  • Communicate with faculty and staff about ceremonies
  • Prepare reports based on sales and surveys
  • Use university systems for vendor invoicing and facility requests
  • Manage department phone, email, and calendar
  • Maintain workspace and inventory
  • Schedule and coordinate meetings and agendas
  • Order office supplies
  • Perform other assigned duties
