Job Requirements
- Associate degree or equivalent
- 1-2 years experience in special event planning and coordination
- Ability to work flexible hours including evenings, weekends and late nights
- Must be able to lift up to 20lbs regularly and up to 60lbs with assistance
- Ability to move about the museum floor regularly to set up, monitor, supervise, and breakdown events
- Valid FBI fingerprints results and Pennsylvania Child Abuse History and State Criminal Record checks required
- Ability to interact with public including children and families
- Knowledge of museum policies and security measures
- Proficient in cash handling
- Must follow Collective Bargaining Unit requirements
- Physical ability to perform event preparation duties
Job Qualifications
- Bachelor's degree or equivalent in related field preferred
- Associate degree or equivalent required
- 1-2 years experience in special event planning and coordination required
- Supervisory experience in the hospitality industry preferred
- Highly organized with excellent problem-solving skills
- Ability to make quick decisions in the best interest of the facility and clients
- Excellent customer service skills
- Level-headed under pressure
- Knowledge of floor planning software
- Basic awareness of event permitting, sales agreements, and vendor management
- Proficient in Microsoft Office Suite including Excel
- Basic experience with cash handling and PCI compliance
Job Duties
- Manage event operations including scheduling, training and supervision of staff
- Serve as key museum staff member during events ensuring safety and security of employees, visitors, and contractors
- Coordinate planning, setup, and cleanup for all events including external, donated, and internal events
- Liaise between upper management, partners, outside contractors, and clients
- Manage third party catering and bar service contracts and on-site workers
- Accept reservations and process credit card payments for special events
- Order and maintain supplies within budget constraints
- Maintain reports for Senior Manager of Visitor Services, Finance Department, and other staff
- Ensure museum and grounds are returned to pre-event condition
- Assist in recruitment, training, coaching, and discipline of part-time event staff
- Create and approve staff schedules and payroll
- Respond to facility, security, safety, staffing, catering, cleaning, and contract issues
- Manage customer service interactions including accident and incident reports
