Job Requirements

  • eligible to work in the United States
  • must reside in one of the specified Eastern Time Zone states including Maine, Connecticut, Massachusetts, New Jersey, New York, Pennsylvania, Maryland, Virginia, Ohio, Georgia, Florida, Alabama, Tennessee, Wisconsin, Texas
  • full-time availability
  • experience with hybrid event management
  • excellent organizational and project management skills
  • strong communication and interpersonal skills
  • ability to travel 4-6 times per year in the United States

Job Qualifications

  • 5+ years of experience managing large-scale conferences or hybrid events
  • expertise in event logistics, budgeting, contracts, and on-site management
  • strong attention to detail and ability to multi-task under pressure
  • excellent negotiation and communication skills
  • proficiency with Cvent or comparable event management platforms
  • strong analytical mindset and ability to use data to inform decisions
  • proactive, self-starting attitude with minimal supervision
  • passion for delivering high-quality experiences aligned with AMS's mission
  • sourcing experience preferred
  • Certified Meeting Planner is a plus
  • exhibits grace under pressure

Job Duties

  • Lead the full lifecycle of multiple hybrid events
  • collaborate across departments to deliver cohesive, mission-driven experiences
  • create and manage detailed timelines, workflows, and documentation
  • support the Community Engagement Lead in planning and delivering Regional Symposiums
  • manage all speaker relations including communications, training, scheduling, and on-site support
  • oversee the Cvent Abstract Management System including proposal collection and reviewer assignments
  • develop RFPs, analyze proposals, and negotiate contracts with venues and vendors
  • coordinate site visits and monitor room setups and logistics
  • create agendas and run of show for events
  • manage all logistical elements including session assignments, room plans, food and beverage, AV, decor, and signage
  • oversee staff and volunteer training related to event operations
  • track budgets, expenses, and vendor costs to ensure financial accuracy
  • collect and analyze post-event feedback and metrics to measure success
  • research and implement event industry trends and best practices
  • represent AMS with enthusiasm, professionalism, and empathy
  • provide excellent service to members, attendees, sponsors, and speakers
