Job Requirements
- Bachelor's degree or equivalent experience
- 5+ years of event management experience
- Proficiency in event management software such as Cvent
- Ability to travel 4-6 times annually in the US
- Residency in specified US states (Maine, Connecticut, Massachusetts, New Jersey, New York, Pennsylvania, Maryland, Virginia, Ohio, Georgia, Florida, Alabama, Tennessee, Wisconsin, Texas)
- Eligible to work in the United States
- Strong negotiation and communication skills
- Detail-oriented with excellent organizational abilities
- Capacity to work independently within a remote environment
- Availability to work Eastern Time Zone hours
Job Qualifications
- 5+ years of experience managing large-scale conferences or hybrid events
- Expertise in event logistics, budgeting, contracts, and on-site management
- Strong attention to detail and ability to multi-task under pressure
- Sourcing experience preferred
- Excellent negotiation and communication skills
- Proficiency with Cvent or comparable event management platforms
- Certified Meeting Planner is a plus
- Strong analytical mindset
- Proactive, self-starting attitude

Job Duties
- Lead the full lifecycle of multiple hybrid events
- Collaborate across departments to deliver mission-driven experiences
- Create and manage detailed timelines, workflows, and documentation
- Support Community Engagement Lead in Regional Symposiums planning
- Manage all speaker relations including communications and on-site support
- Oversee the Cvent Abstract Management System
- Develop RFPs, analyze proposals, and negotiate contracts
- Coordinate site visits and monitor event logistics
- Review and approve vendor invoices
- Work with local tourism bureaus to enhance attendee experiences
- Create agenda and master run of show for events
- Coordinate preconference and conference event information
- Manage session assignments, room plans, food and beverage, AV, decor, and signage
- Oversee staff and volunteer training related to event operations
- Track budgets, expenses, and vendor costs
- Manage payment collection and reconciliation
- Maintain the AMS Event Dashboard with data and reports
- Collect and analyze post-event feedback
- Research and implement event industry trends
- Create innovative engagement opportunities
- Integrate risk management into event preparation
- Represent AMS with professionalism and empathy
- Provide excellent service to members, attendees, sponsors, and speakers
