Job Requirements

  • Bachelor’s degree in a related field
  • Five years of related experience or equivalent combination of education and experience
  • Demonstrated experience in event planning and project management
  • Advanced knowledge of event design and production
  • Exceptional communication skills
  • Strong organizational and project management skills
  • Availability to work occasional early mornings, evenings, and weekends
  • Ability to travel internationally and stay overnight
  • Physical ability to lift materials and stand for extended periods
  • Proficiency in computer and technical skills including event registration software

Job Qualifications

  • Bachelor’s degree in a related field
  • Five years of related experience or an equivalent combination of education and experience
  • Demonstrated experience in event planning and project management
  • Advanced knowledge of event design, organization, and production
  • Exceptional verbal and written communication skills
  • Strong organizational and project management skills with meticulous attention to detail
  • Experience managing events within a higher education environment preferred
  • Experience with commencement or diploma ceremony planning preferred
  • Experience with international conference planning and logistics preferred
  • Proficiency with event software systems such as Cvent or Swoogo
  • Familiarity with design tools like Adobe Creative Suite and Canva
  • Knowledge of HTML and content management systems like Drupal
  • Experience with Salesforce Marketing Cloud (Yale Message) preferred
  • Fluency in Spanish is a plus
  • Ability to represent the school professionally to prominent guests and vendors

Job Duties

  • Design and execute plans for various special events ranging in size from a few to several thousand guests
  • Conduct comprehensive planning for complex multi-day and single-activity events
  • Work closely with stakeholders to incorporate strategic goals into event planning
  • Confer with constituencies regarding logistics, guest lists, site selection, vendors, event goals and objectives
  • Personally supervise every phase of events as the primary contact and on-site coordinator
  • Manage all logistics, service delivery, and quality control including contracts and equipment rental
  • Prepare and execute detailed event planning timelines and manage event budgets
  • Maintain an events calendar and coordinate production and distribution of written materials
  • Lead and evaluate subordinate staff when applicable
  • Generate reports and create invoices
  • Create and monitor online conference registration forms
  • May perform other duties as assigned
