Job Requirements

  • Bachelor's degree in hospitality management, hospitality and tourism management, business administration, marketing, communications or related field or 10+ years of experience in lieu of degree
  • Minimum 8+ years of progressive experience planning and executing events of 100 attendees or more
  • Minimum 5+ years of experience managing expositions and trade-show activities such as SXSW, CES
  • Exceptional project management, communication (spoken and written), and customer service skills
  • Preference for Certified Meeting Planner (CMP) certification
  • Tech-savvy and proficient in event software and standard office software
  • Ability to work collaboratively and independently
  • Ability to lift 50+ lbs for event setup and breakdown
  • Ability to travel domestically
  • Must be able to provide references

Job Qualifications

  • Minimum 5+ years experience managing expositions and trade-show activities such as SXSW, CES

  • Excellent communication skills both spoken and written
  • Customer service skills
  • Certified Meeting Planner (CMP) certification preferred
  • Proficiency with event software and standard office software
  • Ability to work independently and collaboratively
  • Ability to lift over 50 lbs for event setup and breakdown
  • Ability to travel domestically
  • Must provide references

Job Duties

  • Provide comprehensive run of show planning for internal and external meetings, events, conferences, and exhibits
  • Review and research event objectives, audiences, and stakeholder context
  • Work closely with communications team to manage inventory of educational resources and outreach materials
  • Ensure event materials and experiences comply with federal requirements
  • Adapt event planning for in-person, virtual, and hybrid formats
  • Collaborate with public affairs, congressional, and facility security teams
  • Travel to support events including SXSW and Consumer Electronics Show
  • Assist in end-to-end planning and project management of multiple high-profile events
  • Oversee logistical elements including venue, catering, and service contracting
  • Design outreach formats and coordinate pricing and procurement for signage and décor
  • Coordinate trade-show booth design, staffing, and logistics
  • Recommend speakers and moderators and assist in their preparation
  • Review presentations, conduct dry runs and tech checks
  • Develop and distribute surveys and produce activity reports
