Job Requirements
- Bachelor's degree or equivalent experience
- Three to five years of relevant event planning experience
- Strong contract negotiation skills
- Proven ability to manage multiple priorities
- Excellent communication and interpersonal skills
- Proficiency in event management software and CRM systems
- Ability to work under pressure and meet deadlines
- Capable of working both independently and collaboratively
- Strong budgeting and financial management skills
- Commitment to customer service excellence
Job Qualifications
- Three to five years of experience in event or meeting planning, event sales, event marketing and/or hospitality
- Prior event or meeting planning experience, corporate events a plus
- Proven experience managing complex events
- Ability to work autonomously and in a team-based environment
- Understanding of both revenue and expense sides of event budgets
- Pro-business beliefs consistent with the organization's mission and positions
- Experience with sponsorships and event sales
- Experience in marketing for events
- Excellent oral and written communication skills
- Expert organization skills and attention to detail
- Understanding of business/non-profit communities a plus
- Experience with Salesforce and/or Blackthorn Events a plus
Job Duties
- Serve as end-to-end lead on all event logistics
- Conduct site visits and secure event venues
- Negotiate contracts with venues and vendors
- Develop themes and content for events
- Coordinate speaker selection and content
- Work closely with communications team to develop marketing materials and promotions
- Manage event ticket and table sales
- Oversee event budgets
- Track and fulfill event sponsorship benefits
- Manage event setup, execution, and teardown
- Volunteer management
- Develop and maintain effective internal and external relationships
- Serve as event expert and assist with team training and mentorship
- Research event opportunities for increased profitability and attendance growth
- Monitor attendance goals and increase event attendance
- Identify and develop new sponsorship benefit opportunities
- Manage RFP process ensuring vendor opportunities are open
- Conduct and review event surveys for satisfaction and improvements
- Maintain database accuracy and file organization
- Manage event web pages and registration
- Keep precise records in CRM database
- Ensure timely invoicing and payment collection
- Coordinate with sales department on membership and event eligibility
- Conduct post-event follow-up and reconciliation
- Organize and maintain event files and materials
