Job Requirements

  • High school diploma or equivalent
  • Minimum two years of experience in office, event coordination or related field
  • Ability to work Monday to Friday, 8:00 am to 5:00 pm, with occasional evening and weekend hours
  • Ability to manage multiple events and meet deadlines
  • Strong organizational and communication skills
  • Ability to work independently and collaboratively
  • Ability to travel occasionally within city, county, and state
  • Ability to adapt quickly to last-minute changes and unforeseen issues
  • Ability to operate office equipment including computers, phones, printers, copiers, and calculators
  • Ability to remain in a stationary position and move across campus as needed

Job Qualifications

  • High school diploma or equivalent
  • Two years of experience in office, event coordination or related field
  • Knowledge of principles and best practices of conference and event planning
  • Understanding of venue selection, contract negotiation, and vendor management
  • Experience with budget development, tracking, and reconciliation
  • Familiarity with registration systems and audiovisual, staging, and on-site technical requirements
  • Ability to coordinate catering, travel, and accommodation logistics
  • Strong organizational and project management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple events and deadlines
  • Problem-solving and conflict-resolution skills
  • Ability to prepare reports, schedules, and event documentation
  • Ability to lead on-site event operations and manage staff
  • Bachelor's degree preferred
  • Four years in the event coordination field preferred

Job Duties

  • Coordinate all logistical aspects of conferences and events, including venues, catering, travel, accommodations, and audiovisual needs
  • Develop and manage event timelines, budgets, and registration processes
  • Liaise with speakers, sponsors, exhibitors, and vendors
  • Oversee on-site event operations and troubleshoot issues in real time
  • Prepare event materials, agendas, and post-conference reports
  • Collaborate with marketing and communications teams to support event promotion
