Job Requirements
- Bachelor's degree or equivalent experience in event management or related field
- 3+ years of relevant professional experience in event planning and execution
- Ability to manage multiple projects simultaneously without compromising quality
- Excellent interpersonal and negotiation skills
- Strong time management and problem-solving abilities
- Availability to travel frequently and work onsite at events
- Proficiency with event management software and communication platforms
- Ability to work effectively in a dynamic, fast-paced, and sometimes chaotic environment
Job Qualifications
- 3+ years experience planning and executing in-person and virtual events in a fast-paced environment
- Exceptional organizational and project management skills with strong attention to detail
- Proven ability to manage complex logistics and competing priorities under tight deadlines
- Excellent communication skills, both written and verbal, with experience interfacing with external partners
- Comfortable traveling frequently for conferences and working onsite at events
- Proficient with tools for event management, email outreach, and basic content coordination
- Self-starter who can work independently, adapt quickly, and troubleshoot in real time
- Bonus: multilingual or experience supporting international event logistics
Job Duties
- Coordinate all logistics for 20+ in-person conferences annually, including travel, accommodations, and registration for attendees
- Manage vendors, internet setup, booth materials, furniture rentals, swag, and printed collateral for each event
- Oversee onsite setup and teardown of conference booths, with support from local team members or hired staff
- Organize adjacent meetings and events such as school visits, product demos, customer meetups, and executive briefings
- Recruit and coordinate with local partners including translators, resellers, and Padlet superfans
- Execute attendee outreach before and after each conference, including email communications and marketing handoffs
- Coordinate logistics for virtual events such as webinars and online workshops, including scheduling, assets, and follow-up
- Collaborate with nonprofit partners and educators to host virtual sessions and support international expansion
- Maintain detailed documentation and planning materials to ensure event consistency and continuous improvement
