Job Requirements

  • Candidates must be legally authorized to work in the United States
  • Valid driver’s license and reliable personal transportation with legal registration and insurance
  • Must meet training and background check qualifications including compliance with Protection of Minors and Vehicle Driving policies
  • Willingness to work extended hours and all shifts as necessary
  • Ability to support department operations during university breaks if required
  • Proven ability to work independently and maintain confidentiality
  • Ability to collaborate with colleagues across departments
  • Commitment to upholding university values and standards

Job Qualifications

  • Two years experience in a customer service or hospitality role
  • Basic knowledge of event equipment and audiovisual technology
  • At least one year of experience managing client, vendor, or tenant relationships with decision-making authority
  • Strong verbal and written communication skills
  • Demonstrated ability to work collaboratively with diverse teams
  • Bachelor’s degree or equivalent work experience preferred
  • Experience in Hawai'i’s visitor industry advantageous
  • Prior budget management experience desirable
  • Minimum five years event planning experience considered a plus
  • Ability to work independently and exercise sound judgment
  • Strong time and stress management skills

Job Duties

  • Serve as the primary event coordinator for all non-University events at the Aloha Tower Marketplace
  • Serve as the primary space administrator using CourseDog for scheduling both external and internal events
  • Liaise with the Registrar’s Office and other University departments to coordinate campus event scheduling
  • Balance conference, tenant, and community event needs with University academic requirements
  • Respond promptly and professionally to all event inquiries and meet with prospective clients for event discussions and facility walkthroughs
  • Communicate event policies, services, property rules, and fee schedules to clients and customers
  • Act as the primary contact and liaison during external events and coordinate with Facilities, Security, Property Management, and IT on event logistics
  • Prepare and manage event documentation including contracts, work orders, permits, floor plans, and billing
  • Ensure compliance with building rules, safety procedures, and successful execution of events
  • Assist with event budgeting and policy development
  • Oversee student worker recruitment, hiring, and scheduling as requested
  • Participate actively in team assignments and other related duties as assigned
