Job Requirements
- Legally authorized to work in the United States
- No visa sponsorship or relocation allowance available
- Must support department obligations including work during winter break if necessary

Job Qualifications
- Two years' experience in a customer service and/or hospitality role
- Basic knowledge of event equipment (audiovisual technology) and operation
- At least one year of experience leading a client, vendor, or tenant relationship with decision-making authority
- Demonstrated professional record of working collaboratively with others
- Effective verbal and written communication skills
- Ability to work extended hours as needed
- Bachelor's degree or equivalent work experience preferred
- Experience in Hawai'i's visitor industry preferred
- Prior experience establishing and managing budgets preferred
- Five years of event planning experience preferred
- Ability to operate independently, exercise sound judgment, and maintain confidentiality
- Ability to collaborate closely with colleagues within and across departments
Job Duties
- Serve as the primary event coordinator for all non-University events at the ATM campus
- Serve as the primary space administrator for the ATM campus through the CourseDog scheduling system
- Liaise with the Registrar's Office and all HPU departments to schedule campus events
- Balance conference events, tenant, and community demands with University needs
- Respond to all event inquiries positively and conduct facility walkthroughs with prospective clients
- Communicate event policies, property rules, and fee schedules to event directors and non-University customers
- Manage all logistics for external events and coordinate with Facilities, Security, Property Management, and IT
- Hold weekly meetings with stakeholders
- Prepare and provide event contracts, work orders, floor plans, reports, and invoicing documentation
- Obtain liquor licenses for events when required
- Provide detailed accounting and collect payment for events
- Make strategic decisions to ensure successful, safe events
- Build and maintain business relationships to encourage repeat bookings
- Coordinate with Executive Offices on VIP events
- Attend events after hours as necessary
- Recalibrate space allocation and prepare reports on revenues and expenditures
- Assist management with policy development and event budget
- Support recruitment and scheduling of student workers
- Perform other related duties as assigned
