Job Requirements

  • Bachelor’s degree or equivalent experience in related field
  • Minimum of three years experience in event planning or management
  • Experience working with diverse international communities
  • Availability to work some evenings and weekends
  • Ability to work both onsite at the La Jolla campus and remotely
  • Ability to pass background check consistent with university policy
  • Compliance with California Child Abuse and Neglect Reporting Act (CANRA) as a mandated reporter

Job Qualifications

  • Experience planning coordinating and executing high-level events such as conferences trainings receptions and delegation visits
  • Thorough knowledge of event planning and public relations principles including event design organization and production
  • Excellent communication and interpersonal skills including collaboration with diverse stakeholders
  • Proficiency in event planning software project management tools and Microsoft Office suite
  • Ability to meet budget and time constraints effectively and work under pressure
  • Demonstrated organizational and project management skills for producing high quality events
  • Skill in providing excellent donor stewardship
  • Strong problem recognition and decision-making skills
  • Knowledge in volunteer recruitment supervision motivation and evaluation
  • Ability to work effectively with invited guests donors government officials and university VIPs
  • Knowledge of crowd management crowd safety protocols security and emergency procedures
  • Ability to give clear directives and use independent rational judgment

Job Duties

  • Plan, coordinate, and execute high-level events including conferences, trainings, receptions, and delegation visits
  • Develop event concepts, themes, and timelines in collaboration with university stakeholders
  • Liaise with domestic and international partners, vendors, contractors, and internal departments for seamless logistics including venue, catering, audiovisual, transportation, and security
  • Manage event budgets and oversee post-event analysis to inform future events
  • Supervise student event staff and volunteers providing clear direction
  • Ensure compliance with crowd safety protocols, security, and emergency procedures
  • Deliver engaging and high-quality event experiences aligned with institutional goals
