Job Requirements

  • Bachelor's degree preferred
  • 2 to 4 years of relevant event planning experience
  • experience in service industry
  • willingness to work occasional weekends and overtime
  • ability to travel within continental United States
  • physical ability to stand and walk up to 16 hours
  • ability to lift and carry up to 50 pounds consistently

Job Qualifications

  • Bachelor's degree in Hospitality Management, Marketing, Communications, Business, or related field preferred
  • 2-4 years of experience planning and implementing events, conferences, seminars, retreats, or related activities
  • experience in service industry required
  • experience in hospitality industry a plus
  • knowledge of Focus on the Family mission, philosophy, values, and objectives
  • experience with negotiating contracts and interdepartmental communication
  • excellent interpersonal skills

Job Duties

  • Act as logistical lead in planning, execution, communication, and documentation of assigned events ranging from small to large scale
  • assist the Working Supervisor to execute logistical plans for large and extra-large events
  • ensure all clients and event owners experience the highest level of care and communication throughout the planning and execution process
  • provide and maintain consistent, regular, comprehensive communication and documentation including calendar and event information management
  • work effectively with various departments to ensure strong collaboration and successful events
  • coordinate and lead meetings for all assigned events including creating and presenting presentations
  • develop detailed schedules and timelines supporting deadlines for assigned events
  • gather and prepare all assigned event materials and set up rooms according to event plan
  • manage expenditures and income throughout the event planning process including final accounting
  • facilitate contracting, purchasing, and invoicing processes
  • assist Working Supervisor in people management as needed
  • manage post-event communication, debriefs, and documentation archival
  • maintain regular communication of logistical status and reporting to supervisors
  • assist in managing event calendar and coordinating production and operations team onsite requests
  • act as backup for event calendar management
  • develop and implement organizational plans for inventory and event spaces
  • assure data accuracy on event database and support report creation
  • support monthly and annual reporting
  • ensure all financial reports are completed timely
  • research and analyze event trends and best practices
  • act as subject matter expert for event management system including registration site building
  • prepare event FAQs
  • represent Events Department on cross-functional teams
