Job Requirements

  • Flexibility in working hours including significant evening and weekend work
  • Ability to lift and move tables weighing up to 30 pounds and water and coffee urns up to 25 pounds
  • Comfortable working outdoors in varying weather conditions including hot, rainy, and windy environments
  • Must be able to walk and work on uneven, sloped, and grassy surfaces
  • Strong communication and coordination skills
  • Basic proficiency with audiovisual equipment
  • Must be willing to complete required certifications within specified timeframe

Job Qualifications

  • High school diploma required
  • Minimum 2 years of customer service experience required
  • Minimum 2 years of experience with coordinating rentals or special events
  • Experience operating audiovisual technology preferred
  • Ability to obtain Food Handlers Permit within 3 months of hire if not certified
  • Ability to complete First Aid and CPR courses within 3 months of hire if not certified

Job Duties

  • Serve as onsite contact person for all assigned facility rentals events to ensure success of the event
  • Provide facility rental services to clients and guests under limited supervision to ensure smooth and efficient events
  • Communicate and coordinate with other department staff in planning and executing event requirements
  • Enforce Bishop Museum’s rules and policies with clients, guests, and vendors according to rental agreements
  • Coordinate with external vendors to oversee delivery, set-up, execution, and strike of vendor equipment and personnel in compliance with museum rules
  • Ensure events are set up in accordance with rental agreements as detailed on the events calendar
  • Setup and breakdown event equipment, furniture, and tents
  • Coordinate with other departments including Buildings and Grounds and Housekeeping to ensure setup and cleanup before and after events
  • Set up museum meeting spaces including room preparation, beverage service, teleconference phone system, and tablecloth arrangements
  • Operate basic audiovisual equipment and applications such as projectors and speakers as needed
  • Maintain inventory of event-related supplies including furniture, tents, utensils, linens, and cleaning materials
  • Maintain calendar of room bookings for internal staff
  • Assist with responding to facility rental inquiries collaboratively with team
  • Process agreements and payments, including intake and refunds
  • Assist with department clerical work
  • Support Visitor Experience operational duties such as answering office phones and providing museum wayfinding
  • Perform other tasks as assigned or requested by supervisor
