Job Requirements
- High school diploma or GED or equivalent education and experience
- Minimum of 2 years office administration experience
- Prior experience in hospitality or event industry preferred
- Valid driver’s license required
- Ability to travel up to 10%
- Ability to work flexible hours including early mornings, evenings, weekends, and holidays
- Capacity to work overtime as needed
- Ability to maintain confidentiality
- Ability to work in a fast-paced environment
- Strong organizational and multitasking skills

Job Duties
- Answering inquiries and processing payments and invoices for private events
- Ordering office and event supplies, apparel, food, and other materials
- Organizing and reconciling client files in both digital and paper formats
- Coordinating department loaned equipment
- Soliciting event photography and videography, managing associated credits and client reviews
- Submitting Jira service tickets for multiple departments
- Assisting with venue marketing efforts including photo and video curation and website content
- Producing and organizing event documentation such as signage, diagrams, agreements, and forms
- Maintaining various internal reports including workflows, attendance, calendar availability, and financial summaries
- Coordinating special event ticketing for private events
- Overseeing assigned special projects
- Engaging external stakeholders to ensure smooth event execution and uphold policies
- Taking detailed notes during meetings
- Occasionally managing calendar reservations and making offsite trips for department needs
- Providing multi-channel customer service to staff, volunteers, and attendees
- Maintaining a clean and organized office environment including mail handling
- Processing and tracking invoices according to procedures
- Preparing event materials like binders and clipboards
- Compiling monthly attendance data for events
- Coordinating meals for volunteers and staff during events
- Assisting with event set up and breakdown
- Performing occasional early morning, evening, and weekend work
- Ensuring regular attendance at the worksite
- Committing to the Gardens' mission of connecting people with plants
