Job Requirements

  • Bachelor's degree or equivalent combination of education and relevant experience
  • 3-5 years of experience supporting or coordinating events or programs
  • demonstrated ability to manage multiple events or projects simultaneously
  • knowledge of event logistics including scheduling, room reservations, catering, vendor coordination, and audiovisual needs
  • experience tracking budgets, invoices, purchase requests, and payments
  • strong organizational and time-management skills
  • excellent communication abilities
  • proficiency with common office and collaboration tools such as Microsoft Office or Google Workspace

Job Qualifications

  • demonstrated ability to manage multiple projects and meet deadlines
  • working knowledge of event logistics including scheduling, room reservations, catering, vendor coordination, and audiovisual needs
  • experience tracking budgets, invoices, purchase requests, and payments
  • strong organizational and time-management skills
  • excellent written and verbal communication skills
  • proficiency with office and collaboration tools such as Microsoft Office or Google Workspace
  • experience coordinating complex events within academic or institutional settings is preferred
  • familiarity with university policies related to contracts and procurement is beneficial
  • prior experience supervising student employees or temporary staff
  • experience with RSVP and event management platforms
  • interest in academic, cultural, or student-focused programming

Job Duties

  • Collaborate with the Dean's Office, Development Office, and Undergraduate Studies to maintain the School's primary calendar of events
  • stay abreast of university entertainment policies and develop internal event procedures
  • process all university-required event forms, purchase requests, payments, and contracts
  • maintain accurate budgets and adhere to university and internal procedures
  • plan and execute private donor and stakeholder events, student gatherings, and academic events
  • oversee event logistics including audiovisual coordination, RSVP tracking, room reservations, and speaker travel
  • collaborate with internal units to develop event promotional materials and publicize events
  • manage food and catering arrangements, ensuring quality and dietary compliance
  • supervise student employees involved in events
  • perform additional duties as assigned
