Job Requirements

  • Bachelor's degree or equivalent experience in business, marketing, communications or related field
  • 2-4 years of experience in event planning, project coordination, or client services
  • Strong communication skills
  • Organizational skills capable of managing multiple projects
  • Familiarity with CRM systems and virtual event tools
  • Ability to build and maintain positive relationships with clients and partners
  • Exceptional attention to detail and follow-through
  • Willingness to travel up to 25% for events

Job Qualifications

  • Bachelor's degree in business, marketing, communications, or related field (or equivalent experience)
  • 2-4 years of professional experience in event planning, project coordination, or client services (media, agency, or nonprofit experience preferred)
  • Strong communication and organizational skills, with an ability to manage multiple projects simultaneously
  • Comfortable with CRM systems, project management platforms, and virtual event tools
  • Proven ability to build and maintain positive relationships with clients, partners, and vendors
  • Exceptional attention to detail, follow-through, and time management
  • Willingness to travel for events (up to 25%)

Job Duties

  • Serve as the primary point of contact for assigned sponsors, speakers, and partners before, during, and after events
  • Coordinate and track all deliverables, including agendas, signage, credentials, collateral, and post-event reports
  • Support onsite execution by managing registration desks, attendee communications, and sponsor activations
  • Liaise with venues, vendors, and A/V teams to ensure technical, catering, and setup needs are met
  • Manage communications with speakers, including confirmations, logistics, and collection of presentation materials
  • Maintain proactive communication with sponsors and partners, ensuring expectations and deliverables are clear
  • Assist the sales team with proposal materials, sponsor decks, and post-event recaps
  • Support fulfillment and tracking of sponsorship benefits, ensuring accurate representation across signage, digital channels, and programs
  • Conduct post-event reporting and optimization recommendations for continuous improvement
  • Oversee registration management and attendee communications, including email campaigns and help desk support
  • Maintain detailed and accurate event timelines, task trackers, and CRM data (Boostr)
  • Coordinate internal workflows between sales, marketing, design, and content teams to deliver on-time, high-quality activations
  • Support virtual and hybrid event production, ensuring smooth technical delivery and engagement
  • Work cross-functionally with marketing, editorial, and operations teams to enhance the overall attendee and sponsor experience
  • Represent Recurrent Ventures and our brands professionally at all live events and industry gatherings
  • Contribute to a culture of creativity, accountability, and continuous learning
  • Produce detailed post-event reports capturing KPIs, ROI, and strategic recommendations
  • Maintain dashboards for leadership and sponsor reporting
  • Lead continuous improvement initiatives, updating the MIC Playbook to codify best practices
