Job Requirements
- Graduation from an accredited college or university with a bachelor's degree in public relations, business administration, recreation, mass communications, marketing, hospitality or related field
- minimum three years of experience in events coordination or meeting planning at convention centers, conference centers, hotels, expo halls or related venues
- possession of a valid Florida driver's license may be required
- willingness to work rotating shifts including nights, weekends, holidays and overtime
- ability to participate in emergency preparedness activities during city emergency declarations
- drug testing as part of pre-employment process
Job Qualifications
- Bachelor's degree in public relations, business administration, recreation, mass communications, marketing, hospitality or related field
- three years of experience in events coordination or meeting planning at convention centers, conference centers, hotels, expo halls or related venues
- working knowledge of convention center standard operating procedures
- strong organizational and communication skills
- basic computer skills
- ability to multi-task and coordinate effectively with various stakeholders
- ability to maintain records and prepare clear and accurate reports
- ability to establish and maintain effective working relationships with employees, meeting planners, and the general public
- valid Florida driver's license (preferred but may be required)
- professional certifications such as Certified Meeting Professional (CMP), Certified in Exhibition Management (CEM), or Certified Venue Professional (CVP) are preferred
Job Duties
- Obtain clients' needs
- explain policies, procedures, and services offered through the convention center
- work directly with meeting planners to coordinate the successful execution of events
- arrange services such as catering, security, audio visual, internet, utilities, and emergency personnel
- provide event specific information such as floor plans and event timelines to convention center departments and service providers
- manage the events to ensure work is performed
- act as liaison between the convention center and the lessees
- coordinate activities as they relate to lessee needs both prior to and during events such as conventions, trade shows, or public shows
- conduct follow-up meetings to verify information and resolve problems
- submit floor plans required by the Fire Inspector for review and approval
- work closely with the Fiscal Department to ensure ancillary expenses are appropriately billed and invoiced
- prepare non-technical drawings and sketches using AutoCAD
- enter event information into designated software programs
- attend staff meetings to discuss upcoming schedules and events, conduct site visits, planning meetings and pre-cons
- prepare and maintain files and reports
- check assigned areas for safety hazards and address any concerns
- review all incident reports
- perform related work as required
