Job Requirements

  • Bachelor's degree or equivalent combination of education and experience
  • two years of experience in event coordination hospitality tourism or project management
  • knowledge of word processing and spreadsheet applications
  • strong verbal and written communication skills
  • strong interpersonal and organizational skills
  • ability to multi-task and work cooperatively with others
  • ability to adapt to changing priorities
  • ability to complete work within given deadlines and timelines
  • ability to present information clearly and concisely
  • ability to manage multiple projects in a fast-paced environment
  • ability to handle pre-conference planning and registration management
  • financial management and oversight skills
  • ability to report and communicate post-conference performance
  • exceptional customer service
  • work beyond normal office hours and/or work on weekends
  • must be able to work irregular and extended hours including nights and weekends
  • must be able to work and travel some weekends and handle significant travel during peak seasons

  • experience with research contracts and the soft money environment

Job Duties

  • Coordinate event logistics including venue selection contract negotiation and vendor management
  • coordinate event registration platform databases and participant communications
  • coordinate event execution including audiovisual setups and catering services
  • assist in preparation of event materials with internal communications team including schedules signage and attendee lists
  • analyze post-event feedback and provide comprehensive financial reporting to stakeholders
  • assist Event Manager and Event Director with other duties as assigned
  • assist Business Coordinator with internal financial deposits and reporting
  • perform other duties as assigned
