Job Requirements

  • Two or more years of administrative support experience in a corporate environment
  • one to two years of experience booking vendors, coordinating events, and handling logistics for programs or meetings
  • demonstrated experience managing day-to-day operations, calendars, and logistics
  • practical experience creating reports, tracking tasks, and managing documentation
  • bachelor's degree in business, operations, administration, or a related field, or equivalent experience
  • strong organizational and time management abilities with capacity to manage multiple priorities simultaneously
  • proficient in Microsoft Office Suite including Excel, PowerPoint, Teams, Outlook, and OneNote
  • experience with collaboration tools such as SharePoint
  • excellent verbal and written communication skills with meticulous attention to detail
  • ability to work both independently and collaboratively across teams
  • vendor management and negotiation capabilities
  • budget tracking and financial reconciliation skills
  • comfortable with a hands-on, flexible approach to supporting events and programs

Job Duties

  • Manage day-to-day administrative operations to ensure smooth execution of programs and events
  • coordinate scheduling, meetings, and communications across the team and with stakeholders
  • book and manage vendors, including negotiating logistics and tracking associated expenses
  • track budgets, invoices, and expenses for employee engagement activities, ensuring accurate reporting and reconciliation
  • maintain task lists, monitor project progress, and provide updates to leadership
  • pull and consolidate reports, status updates, and metrics to support team decision-making and leadership reviews
  • support preparation of materials for presentations, meetings, and events, ensuring accuracy and timeliness
  • serve as the point of contact for internal and external partners, ensuring seamless coordination and follow-up
  • provide hands-on support during event execution to ensure programs run smoothly from start to finish
