The Arizona Exposition and State Fair Board (AESF) is a longstanding institution in Arizona, hosting the largest single event in the state every fall since 1884. The Arizona State Fair draws over 1.5 million attendees annually, making it a key cultural and community celebration characterized by food, entertainment, and numerous activities that highlight Arizona's diverse heritage. AESF operates year-round at their Phoenix, AZ location, facilitating numerous events on their fairgrounds including coliseum, fair, and livestock events. Job Requirements

  • Driving is an essential function of this position
  • Must be able to obtain and maintain a valid State of Arizona Driver's License
  • Experience with event coordination and facility management
  • Knowledge of fairgrounds and event facility operations
  • Ability to physically perform assigned duties
  • Strong organizational and supervision skills
  • Ability to communicate clearly verbally and in writing
  • Ability to work with limited direction and make decisions within scope of authority
  • Must be able to handle stress and troubleshoot issues during events

Job Qualifications

  • Bachelor's degree in event management, tourism, business administration, or related field preferred
  • Experience in event planning or coordination
  • Strong administrative and fiscal management skills
  • Excellent written and oral communication skills
  • Ability to work independently and manage multiple priorities
  • Detail-oriented and self-starter
  • Meeting management skills
  • Ability to make independent and sound judgment decisions
  • Proficient in problem-solving and conflict mediation
  • Capable of managing sensitive and complex situations

Job Duties

  • Ensure all specialized equipment and accessories are ready for an event
  • Coordinate with Department Leads in the scheduling of staff based on the event
  • Work with promoters to schedule and book events on fairgrounds
  • Handle special problems arising during events such as security, parking, ushering, or maintenance
  • Coordinate activities to ensure orderly event transpiration
  • Assist in marketing the facility for new events
  • Issue set-up sheets with detailed department responsibilities
  • Assist in developing cost-effective and profitable show quotes
  • Complete itemized billing after events
  • Supervise drivers, interns, and temporary event office staff
  • Oversee satellite stage management during the Arizona State Fair
  • Interact with event clients to exhibit the venue positively
  • Oversee and interact with interns, entertainers, contractors, and staff
  • Ensure smooth operation of the event through department collaboration
  • Attend meetings, training, and perform other duties as assigned
  • Troubleshoot issues during events as required
