Job Requirements

  • Bachelor's degree in related area and/or equivalent experience or training
  • 2-4 years of related experience
  • experience in organizing, planning, and directing social and business events involving large and small groups
  • experience researching vendors and securing quality and price quotes
  • experience managing complex event budgets
  • working knowledge of event planning, production, and public relations concepts
  • excellent organizational and calendar management skills
  • good interpersonal communication and political acumen
  • ability to use good judgment and effective decision-making skills
  • valid California Driver's License or ability to obtain one
  • ability to work flexible hours including evenings, weekends and outside normal business hours
  • ability to pass FBI and Department of Justice background checks
  • ability to work in diverse groups
  • ability to provide excellent customer service under pressure

Job Qualifications

  • Bachelor's degree in related area or equivalent experience and training
  • 2-4 years of related experience in event planning and coordination
  • demonstrated experience in organizing social and professional business events
  • experience working with vendors to obtain quality and price quotes
  • experience creating and overseeing complex event budgets
  • ability to manage multiple details effectively
  • strong interpersonal and communication skills
  • ability to work under pressure and meet tight deadlines
  • preferred experience in higher education settings
  • preferred experience with full-cycle event planning and execution

Job Duties

  • Plan, organize, and implement small events or portions of larger events such as symposiums, conferences, program events, banquets, and VIP briefings
  • coordinate logistics including budgeting, vendor management, and staffing assignments
  • manage event-related publications and fulfill related requests
  • ensure compliance with university policies and procedures
  • conduct post-event evaluations and prepare documentation such as entertainment requests and executive debriefs
  • collaborate with internal and external partners to support event success
  • provide excellent customer service to UCR administrators, faculty, staff, students, and guests
