The role of Events Coordinator within the Advancement Team at United Way of Greater Houston is crucial to the success of the organization’s event-based fundraising and engagement efforts. The Events Coordinator is responsible for designing, implementing, and overseeing special events that align with the organization’s goals and objectives. Serving as the day-of lead, this role ensures flawless execution of event logistics, optimal audience engagement, and quick resolution of any issues that arise during events. In addition to logistical expertise, the position demands strong interpersonal skills for maintaining positive, mutually rewarding relationships with donors, volunteers, and community members. Networking and collaboration with both internal teams and external partners are vital parts of the job.

This full-time position offers the opportunity to work within a passionate team dedicated to community development and social impact. The Events Coordinator will support event planning and management across a range of events, from smaller donor gatherings to large-scale engagements involving 900 or more guests. Responsibilities include coordinating budgets, vendor agreements, sponsorship recognition, creative asset development with the marketing communications (MarCom) team, and comprehensive RSVP tracking and post-event reporting to assess return on investment and effectiveness. The role emphasizes data-informed event strategies and excellence in guest experience.

Candidates should possess a bachelor’s degree in business management or marketing, along with at least three years of professional experience in event management for large organizations. Key qualities include strategic thinking, flexibility, attention to detail, creativity, and the ability to manage multiple projects and stakeholder relationships. Experience with software platforms such as Qtego, MailChimp, Salesforce CRM, Raiser’s Edge, and Canva is advantageous.

Job Requirements

  • Bachelor’s degree in business management or marketing strongly preferred
  • Three or more years of professional experience in events management for large organizations with 100 or more employees
  • Strong project management skills with ability to manage multiple projects simultaneously
  • Expert planning and prioritization skills
  • Ability to be flexible adaptable and work well under pressure
  • Proven ability to think strategically use independent judgement and make sound decisions
  • High attention to detail and creativity skills
  • Demonstrated ability to build strong relationships with internal and external stakeholders
  • Proven ability to manage a diverse group of donors and volunteers
  • Experience using Qtego MailChimp or other contact management systems Salesforce CRM Raiser’s Edge and Canva is a plus

Job Duties

  • Support event planning design and execution in conjunction with the Advancement Team
  • Negotiate agreements with outside vendors and supervise their execution
  • Train and educate staff and volunteers assisting with events
  • Plan event budgets and ensure compliance
  • Oversee event invoicing and reporting
  • Manage sponsorship recognition requirements
  • Lead RSVP tracking and oversee registration processes
  • Generate post-event reports to evaluate ROI and event effectiveness
  • Use data insights to inform event strategies and anticipate guest needs
  • Manage Qtego set-up for Affinity Group events
  • Perform special assignments and additional duties as assigned
