Job Requirements

  • Bachelor's degree preferred or equivalent experience
  • 2-5 years of experience in event planning and execution
  • excellent planning and organizational skills
  • ability to multitask and prioritize competing demands
  • strong communication and collaboration skills
  • proficiency in Microsoft Office Suite
  • willingness to travel up to 25%
  • adherence to compliance and regulatory guidelines

Job Qualifications

  • 2-5 years of hands-on experience in event planning and execution
  • ability to manage multiple detailed projects and prioritize competing demands
  • excellent planning, organization, and analytical skills
  • strong collaborative skills and team-oriented mindset
  • proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Job Duties

  • Oversee monthly expense reporting for medical education and marketing events teams
  • manage inventory for event supplies including snacks, beverages, promotional items, and decor
  • coordinate registration processes such as badges, tent cards, hotel rooming lists, catering orders, audio-visual requests, and transportation logistics
  • conduct post-event analysis including surveys and recaps with recommendations for future improvements
  • track event-related invoices and expenses for budget reconciliation
  • submit vendor invoices for non-credit card payments to accounts payable
  • ensure compliance with guidelines and policies including management of surgeon expenses and monthly compliance reporting for marketing and medical education events
  • adhere to state, federal, and AdvaMed codes of conduct and industry policies regarding promotional activities
  • perform duties in compliance with FDA regulations and ISO 13485 standards
  • carry out additional tasks as assigned
