Cal Poly Pomona's Division of University Advancement is a central division dedicated to fostering and enhancing private support and public awareness for the university. This division is instrumental in building meaningful relationships with alumni, friends, parents, corporations, and foundations to secure philanthropic contributions that support the university's mission. The Division oversees multiple offices including Development, Alumni and External Relations, Government and External Relations, Advancement Services, and Annual Giving. Job Requirements

  • Bachelor's degree or equivalent experience
  • Minimum two years of relevant work experience
  • Strong knowledge of event planning and coordination
  • Excellent organizational and communication skills
  • Ability to work independently and make decisions
  • Proficiency in Raisers Edge, 25 Live, and event-related software
  • Ability to manage budgets and process financial transactions
  • Willingness to work occasional evenings and weekends
  • Ability to supervise volunteers and student assistants
  • Valid driver's license and ability to drive on and off campus
  • Ability to work onsite in Pomona, California

Job Qualifications

  • Bachelor's degree in a related field or equivalent experience
  • Two years of relevant event coordination experience
  • Working knowledge of event planning and management principles
  • Ability to apply judgment to resolve non-standard problems
  • Strong analytical and organizational skills
  • Excellent communication and interpersonal skills
  • Experience leading, training, and supervising staff and volunteers
  • Knowledge of procurement, budgeting, and accounting
  • Proficiency with event planning software and financial systems

Job Duties

  • Coordinate and implement special events including invitation development, mailing, and RSVP tracking
  • Research and manage event logistics including vendors, venues, and materials
  • Maintain and update events and registration information using Raisers Edge
  • Design and produce event communications, invitations, badges, and signage
  • Oversee campus-wide volunteer recruitment, training, scheduling, and coordination for major events
  • Monitor event reservations in 25 Live and ensure compliance with safety and campus policies
  • Manage office coordination tasks including inventory management, equipment maintenance, and student assistant supervision
  • Initiate and process purchase orders, payments, and budgeting for events
  • Support travel document processing and event-related financial transactions
  • Attend events for setup, registration, and guest service, ensuring smooth operations
  • Provide leadership and guidance to event volunteers and coordinate logistics for commencement and other major events
