Job Requirements
- 5-7 plus years of experience coordinating events in a nonprofit, healthcare, or professional setting
- strong organizational skills and ability to multitask
- proficiency with databases and project management tools
- excellent communication skills
- ability to work evenings and weekends as needed
- adherence to California Department of Public Health vaccine requirements
- ability to manage budgets and contracts
- experience with vendor and volunteer coordination
- reliable and detail-oriented

Job Duties
- Support signature events such as the BTBH Annual Gala, Hope Hospice Annual Crab Feed, Hike 4 Hope, Hope 100, Mission Hospice Celebration, and donor brunches
- oversee planning, production, logistics, and promotion of events
- coordinate timelines, venues, vendors, guest lists, materials, and day-of support
- manage onsite support staff and volunteers
- maintain accurate records in the CRM including RSVPs, sponsor details, and post-event notes
- track budgets, invoices, and contracts with Development leadership
- assist with post-event reporting, acknowledgments, and follow-up communications
- work with trusted vendors to ensure smooth execution and high-quality experiences
- expand vendor roster to enhance event offerings
- support and coordinate volunteers and staff providing clear direction
- partner with Development, Marketing, and Clinical teams to align events with organizational values
- interact professionally with donors, board members, and community partners
- provide consistent communication and follow-through
