Job Requirements

  • Experience in event coordination, hospitality, or similar administrative roles
  • proficiency with event software and office productivity tools
  • ability to communicate effectively with diverse teams
  • availability to work flexible hours including weekends and evenings
  • strong organizational skills and attention to detail
  • ability to handle multiple tasks simultaneously
  • capacity to maintain confidentiality
  • ability to work well under pressure

Job Qualifications

  • Detail-oriented with excellent organizational skills and ability to multi-task effectively
  • strong communication skills and ability to work collaboratively with diverse teams
  • experience in hospitality, catering, event coordination, or administrative assistant roles
  • proficient in Google Suite, Word, Excel, and event software such as Delphi, Opera, Tripleseat, Way
  • able to work a flexible schedule including early mornings, late evenings, and weekends
  • positive, results-oriented, and able to thrive under pressure
  • capable of making sound decisions to support operational needs and client satisfaction

Job Duties

  • Maintain communication with key operational departments to ensure smooth event execution
  • prepare and distribute BEOs and Group Resumes for meetings and internal reviews
  • coordinate event-related paperwork including menus, signage, and floor plans
  • coordinate arrival amenities for event VIPs and assist with site inspections and meetings
  • serve as interim point of contact for Sales Group Turnovers
  • manage daily event agendas and internal communication
  • support internal meetings and track Coordinator needs
  • provide updates for weekly Catering pace reports and assist with internal event planning
  • review and audit contracts for program highlights and space conflicts
  • maintain Delphi Administrator responsibilities including event bookings and menu updates
  • coordinate internal event requests with multiple departments
  • assist in the development of group and social event resumes and amenities
  • maintain office organization and inventory supplies
  • assist with BEOs for weddings, social, corporate, and internal events
  • track and resolve issues related to event scheduling and logistics
  • act as liaison to Experiences team
