Job Requirements
- High school diploma or equivalent
- Minimum of 1 year experience in event planning or hospitality related role
- Strong organizational skills
- Excellent verbal and written communication skills

Job Duties
- Assist Event Planning Managers in preparing detailed event documentation including Event Orders, group resumes, and event diagrams
- Coordinate event logistics, rooming lists, setup requirements, and catering details under the direction of the Event Planning Managers
- Communicate confirmed event details to all relevant departments ensuring clarity and consistency
- Track event milestones, deadlines, and changes to ensure timely follow-up with internal teams and clients
- Support onsite during events as needed to ensure successful execution and resolution of last-minute adjustments
- Serve as an administrative point of contact for clients during the planning phase responding promptly and professionally to inquiries
- Support Event Planning Managers with client correspondence, confirmations, and post-event communications
- Maintain accurate and updated event files ensuring all documentation reflects the latest client preferences and event changes
- Prepare and distribute internal event communication
- Liaise with Culinary, Spa, Programming, Housekeeping, Front Office, and other teams to confirm event readiness and guest satisfaction
- Ensure event materials, signage, and decor are properly prepared, organized, and delivered for each program
- Input and maintain event information and updates in resort systems such as Envision and Opera
- Order and maintain supplies and collateral used by the Event Planning team
- Partner closely with Event Planning Managers and the broader resort team to ensure all event-related details are accurately communicated and executed
- Provide administrative backup for the Event Planning office during busy periods or team absences
- Participate in regular event planning meetings to stay aligned with upcoming group schedules and operational priorities
