Job Qualifications

  • 3-4 years of experience in event coordination or hospitality preferably within a professional services environment
  • proven experience supporting large-scale events, conferences, or client programs
  • proficient in Microsoft Office (Word, Excel, PowerPoint) with ability to learn new technologies
  • strong communication and interpersonal skills with professionalism and diplomacy
  • exemplary writing ability including grammar, spelling, and proofreading
  • strong organizational and time management skills to balance multiple priorities
  • bachelor’s degree in marketing, communications, business, hospitality management, or related field preferred
  • experience managing branded giveaways, promotional products, or gifting programs
  • familiarity with CRM systems and basic audio visual coordination
  • experience using Cvent or similar event management software

Job Duties

  • Collaborate with the Event Manager to plan and deliver in-person, virtual, and hybrid events such as client receptions, conferences, sponsorship events, and retreats
  • coordinate logistics including venue research and booking, catering, audio visual and technology setup, guest lists, registration, event materials, and onsite support
  • utilize Cvent and other event technology platforms to manage requests, develop event apps, coordinate communications and content
  • partner with Communications and Creative teams to prepare event materials ensuring brand consistency
  • manage distribution of invitations, track RSVPs, and maintain accurate event data within Cvent and CRM systems
  • maintain organized event files and project timelines to ensure clear communication and status updates
  • support post-event processes including compiling feedback, reconciling budgets, preparing recaps, and coordinating follow-ups
  • track event metrics to identify opportunities for efficiency and engagement improvement
  • provide proactive operational support to the Event Manager ensuring consistent event execution
  • research venues, vendors, and emerging trends to enhance attendee experience and planning
  • oversee selection, ordering, and distribution of branded giveaways and client gifts, ensuring accurate inventory control
  • develop and manage gifting request processes for consistency and timely delivery
  • track inventory, expenses, and budgets related to promotional items and gifting
  • assist with budget monitoring, reconciliation, and vendor invoice processing
  • maintain the events calendar and report event details accurately within platforms
  • compile post-event feedback to inform continuous improvement
  • collaborate with business development to align events with client engagement goals
  • work with vendors and service providers to manage timelines and quality of execution
  • coordinate shipping logistics with the office services team
  • perform additional duties as assigned with flexibility and commitment to firm objectives
