Job Requirements

  • Associate degree or higher
  • experience with event coordination preferred
  • strong interpersonal skills including written and oral communication
  • skilled in Microsoft Word, Excel, SharePoint, and OneDrive
  • excellent organizational skills including multitasking and time management
  • meticulous attention to detail
  • ability to manage and organize a high volume of inquiries
  • strong customer service skills
  • ability to maintain confidentiality and privacy of sensitive information
  • commitment to the Museum's mission
  • availability to work evenings and weekends
  • Monday to Friday work schedule with flexible hours as needed

Job Duties

  • Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests
  • maintain accurate and up-to-date records of leads and bookings
  • maintain detailed knowledge of event spaces, limitations, and Museum operations
  • prepare agreements for all booked activities and ensure timely completion
  • process deposits and payments accurately according to Finance requirements
  • provide guidance and support to Museum departments in planning and utilizing event and meeting space
  • welcome and acknowledge all guests according to Museum standards
  • coordinate arrivals, deliveries, and load-in/load-out schedules with the Director of Events
  • speak with others using clear and professional language
  • prepare and review written documents accurately
  • answer telephones using appropriate etiquette
  • develop and maintain positive working relationships with others
  • support team goals and respond appropriately to concerns
  • perform other duties as assigned
