Job Requirements

  • High school graduate or equivalent
  • Minimum of three years of related experience in conference, facility, or special event coordination
  • Experience with Ad Astra event scheduling software
  • Proficiency in Microsoft Office Suite
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication abilities
  • Ability to manage multiple deadlines and priorities
  • Capacity to work independently and in collaborative settings
  • Physical capability to lift and move event materials
  • Available for travel between campuses as required

Job Qualifications

  • Three years related conference, facility, and/or special events experience
  • Experience with the Ad Astra Scheduling platform
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite
  • Ability to coordinate multiple tasks and adapt to changing priorities
  • Commitment to professional customer service
  • Ability to work independently and collaboratively as part of a team
  • Physical ability to lift and arrange event materials

Job Duties

  • Manage event scheduling using the Ad Astra Event Scheduler platform
  • Review and approve event requests
  • Communicate event needs and changes to campus service providers
  • Maintain accurate information on event spaces, resources, and calendars
  • Handle facility rental inquiries and conduct site visits
  • Prepare rental agreements and coordinate with clients to finalize event details
  • Support and lead planning and execution of college-sponsored events
  • Assist with maintenance of Event Services website
  • Provide hands-on support to ensure seamless event operations
