Job Requirements
- Bachelor's degree or equivalent combination of education and experience
- Four years of experience in program coordination, event planning, or student engagement
- Ability to operate a university golf cart
- Strong organizational and communication skills
- Ability to manage multiple projects simultaneously
- Proficiency with CRM and event management tools
- Ability to work collaboratively with university departments and external vendors
- Experience in budget monitoring and financial record keeping
Job Qualifications
- Bachelor's degree in applicable field or equivalent combination of education and experience
- Four years of experience in program coordination, event planning, or student engagement with demonstrated event management skills
- Master's degree in higher education administration, student affairs, communications, hospitality management, or a related field preferred
- Five or more years of experience in event planning or program coordination, preferably in higher education
- Experience working with graduate students, faculty, and staff
- Supervisory experience managing student employees or volunteers
- Proficiency with event management and CRM systems such as SLATE or Cvent
- Certified Meeting Professional (CMP) or similar certification preferred
- Experience developing and executing communication strategies
- Ability to use data and feedback to assess program effectiveness
- Knowledge of university administrative practices including budget and financial analysis
- Familiarity with Texas A&M business systems such as FAMIS, AggieBuy, Concur, and Workday
- Strong leadership, management, and communication skills
Job Duties
- Lead the planning, coordination, and execution of major graduate student events such as Graduate Commencement, New Graduate Student Orientation, and the Graduate Awards Ceremony
- Develop event concepts, timelines, and run-of-show documents
- Manage all event logistics including venue reservations, catering, audiovisual needs, decor, and accommodations
- Coordinate with university departments, vendors, and external service providers such as photographers, rentals, and transportation
- Serve as the primary point of contact for events to address inquiries and resolve issues
- Oversee event schedules and coordinate entertainment or special activities
- Recruit, train, and supervise student employees or volunteers supporting event operations
- Assign tasks, set schedules, and provide performance feedback to student staff
- Develop and execute communication plans to promote events and engage stakeholders
- Prepare and distribute announcements, invitations, programs, and marketing materials across multiple platforms
- Coordinate with communications team and university partners
- Maintain contact lists and manage guest lists, invitations, and RSVPs using CRM/event management tools
- Ensure timely and accurate communication before, during, and after events
- Monitor and manage event budgets ensuring alignment with financial guidelines and priorities
- Track expenditures, reconcile costs, and provide budget updates to leadership
- Forecast event-related needs and allocate resources
- Coordinate purchasing and vendor payments in compliance with university policies
- Maintain accurate financial records and documentation
- Utilize CRM systems and program management tools to support event planning and evaluation
- Track registrations, attendance, and participant data
- Compile post-event data and metrics for assessment and future planning
- Assist with special projects, administrative tasks, and operational needs during peak periods
- Perform other duties as assigned to support the Graduate and Professional School's mission and goals
