Job Requirements
- High school diploma or GED equivalent
- Two years of relevant experience in event planning, coordination, or project management
- Valid Class C driver’s license
- Ability to sit, stand, and walk extensively in work areas and event sites
- Ability to lift, carry, push, or pull materials weighing up to 40 pounds
- Ability to work flexible hours based on event schedules
- Strong communication and interpersonal skills
- Proficiency with computer software for event management
- Ability to handle stressful situations and de-escalate conflicts
- Willingness to work both indoors and outdoors with exposure to moderate noise levels
Job Qualifications
- High school diploma or GED equivalent
- Bachelor’s degree in Arts Management, Hospitality, or related field preferred
- Two years of progressively responsible experience in event planning, coordination, or project management
- Knowledge of event planning and coordination for large events
- Familiarity with industry standards for artist fees and event technical requirements
- Knowledge of city codes, ordinances, and permitting processes
- Strong verbal and written communication skills
- Ability to resolve conflicts effectively
- Proficiency in computer applications including spreadsheets, word processing, and database management
- Skilled in room layout software
- Excellent attention to detail and organizational skills
Job Duties
- Plan and coordinate city events including meeting room set-up, catering, audio-visual needs, and execution of all event details
- Ensure compliance with city regulations, permitting requirements, and industry best practices for events
- Research and select event components best suited for each occasion
- Curate, oversee and implement event activities to create customized experiences for attendees
- Monitor events on-site to ensure guest safety and satisfaction
- Communicate and coordinate event needs consistently with the event team
- Collaborate with meeting planners, event organizers, hospitality partners, and local businesses for seamless event execution
- Assist in recruitment and coordination of event vendors
- Recruit, review contracts, hire and evaluate artists/talent
- Support artist/talent needs including hotel, transport, and hospitality coordination
- Prepare and maintain event attendance reports and program evaluations
- Provide customer assistance regarding talent booking and film permits
- Maintain regular and consistent attendance and perform other duties as assigned
