Job Requirements

  • Bachelor's degree
  • At least two years of previous events experience
  • Proven ability to work with diverse client groups
  • Experience managing budgets and logistics
  • Ability to build and maintain good working relationships
  • Ability to work independently and in a team
  • Skilled at meeting tight deadlines and handling details
  • Adaptable to changing situations and creative in problem-solving
  • Experience with on-site event management including setup and registration
  • Excellent communication and troubleshooting skills
  • Willingness to work evenings, early mornings, weekends and travel
  • Proficient in Microsoft Word and Excel
  • Physical ability to move supplies up to 20 pounds
  • Capable of navigating multiple buildings and event spaces

Job Qualifications

  • Bachelor's degree

  • Proven effectiveness working with diverse groups and managing budgets
  • Ability to foster strong working relationships internally and externally
  • Ability to work independently and as a team player
  • Skilled at managing projects with tight deadlines
  • Adaptability to change with creative problem-solving
  • Experience with on-site event management and audio/visual needs
  • Excellent oral and written communication skills
  • Strong troubleshooting and judgment skills
  • Willingness to work evenings, mornings, weekends, and travel
  • High proficiency in Microsoft Word and Excel
  • Previous work in research or academic settings preferred
  • Knowledge of audiovisual equipment and desktop publishing preferred
  • Experience with Cvent or similar event software preferred
  • Experience with Sortly or similar inventory software preferred

Job Duties

  • Support logistics before, during, and after events including transportation, facilities, and meals
  • Communicate beverage and meal needs to per diem staff
  • Serve as main contact for series events like Presidential Lectures and Flatiron Seminar Series
  • Review events assistance requests and assign tasks
  • Supervise or create production collateral such as badges and program materials
  • Assist with event check-in and on-site tasks
  • Track and manage inventory through Sortly and procure necessary supplies
  • Maintain event calendar and track event counts
  • Research and maintain contacts for off-site venues and catering
  • Research new event supplies for efficient or unique presentations
  • Perform other assigned duties
