Job Requirements

  • Minimum of two years of event planning and execution experience
  • Preferably in a complex not-for-profit organization
  • Arts organization experience such as stage management or administration may substitute for events experience
  • Must obtain an ABC license for bartending if hired
  • Must obtain a food handler’s certificate if hired
  • Valid California driver’s license required
  • Ability to lift and carry up to 40 lbs
  • Must be able to pass applicable background check
  • Experience with Microsoft Word and Excel required
  • Excellent interpersonal, communication, and project management skills

Job Duties

  • Support the philanthropy team and events director in all aspects of events management including designing, organizing, and executing a range of events with attendance from 15 to 200+ people
  • establishing, maintaining, and adhering to budgets
  • assisting with accounting and reconciliation for events
  • managing vendor relationships and ensuring timely payment of invoices
  • coordinating on-site event preparation, implementation, and clean-up, including event staffing
  • Take RSVPs and create RSVP check-in sheets, nametags, place cards, and signage for events
  • Manage event attendance in Tessitura, the Globe’s database
  • Help to curate and coordinate needs for entertainment, including working with the artistic and production departments to schedule artists at events, audio-visual, and stage set-up needs
  • Maintain inventory for event supplies, including shopping in-person or online as needed
  • Maintain up-to-date and organized event files
  • Serve as a resource to Globe colleagues to support institutional events, like community nights, the annual tree lighting ceremony, and Powers New Voices Festival
  • Serve as a resource and coordinator for the Lipinsky Family Suite by scheduling concierge staff, maintaining inventory, and working in the suite as needed
  • Perform other duties as assigned
