Job Requirements

  • Graduation from an accredited college or university with a bachelor’s degree in Events Management, Parks and Recreation, Hospitality or closely related field
  • minimum of two years of experience for Coordinator I, four years for Coordinator II, six years for Coordinator III or equivalent combination of education and experience
  • valid Colorado Driver’s License and safe driving record
  • ability to obtain First Aid and CPR/AED certification within three months of hire
  • ability to lift up to 50lbs
  • ability and experience driving vehicle pulling small equipment trailer
  • flexibility to work evenings, weekends, heavy summer schedules, and occasional holidays
  • strong communication and multitasking skills
  • proficiency in Microsoft Office and Google products
  • ability to establish and maintain effective working relationships
  • willingness to work in indoor and outdoor settings with varied weather conditions

Job Qualifications

  • minimum of two years of experience performing related duties for Coordinator I, four years for Coordinator II, and six years for Coordinator III, or an equivalent combination of education and experience
  • valid Colorado Driver’s License with a safe driving record
  • ability to obtain First Aid and CPR/AED certification within three months of hire
  • strong project management skills with ability to plan and manage multiple projects
  • excellent problem-solving abilities
  • strong grasp of office practices, methods, and procedures
  • strong verbal and written communication skills
  • high-quality customer service skills
  • proficiency in Microsoft Outlook, Teams, Word, Excel, and Google products
  • familiarity with Asana, Civic Rec, and Granicus preferred or ability to learn
  • ability to work independently and manage priorities
  • knowledge of audio/visual/video/lighting equipment systems preferred

Job Duties

  • Plan and coordinate town events across various town facilities and event locations
  • perform onsite event coordination duties such as vendor coordination, volunteer check-in and assignments, site preparation and teardown, logistics coordination, on-site communication, band management
  • assist with special events scheduling, permitting, and oversight
  • help develop content for marketing materials including announcements, flyers, informational bulletins, and other related communication
  • lift, carry, transport and set up event equipment and supplies
  • conduct research to maintain a high standard of event execution and plan future town events, programs, and partnerships
  • perform administrative duties such as scheduling, preparing invoices and receipts, budgeting, reporting, gathering supplies and equipment, maintaining clean and organized event spaces
  • schedule and attend meetings, enforce policies, rules, and regulations ensuring safe events and facility usage
  • establish and maintain cooperative working relationships with coworkers, residents, customers, elected officials, community businesses, schools, HOAs, volunteers, vendors, and other partners during events
  • assist PROS staff with other duties as assigned
  • support the coordination of volunteer projects from start to finish including coordinating and distributing project information, processing and tracking applications, creating volunteer position descriptions and schedules, matching volunteers to suitable projects and duties, overseeing onsite logistics for volunteers at events and during group projects, and writing project summaries
  • retain and organize volunteer records
  • assist with writing, reviewing, and posting materials needed for advisory committees including agendas, notes, and items for the Town Board packets
  • assist with keeping various associated webpages and calendars updated and accurate using the Granicus suite programs
  • assist with organizing and maintaining advisory committee processes and documents
  • assist with all logistics, audio/visual, online and meeting details for advisory committees
