Job Requirements
- a bachelor's degree in an appropriate area of specialization and three years of appropriate experience or a high school diploma and seven years of appropriate experience
- appropriate college coursework may substitute at an equivalent rate for the required experience
- ability to work Wednesday through Sunday 10:00 a.m. to 7:00 p.m. with additional evening hours as needed
- flexibility to support peak enrollment periods and major campus events
- strong organizational and communication skills
- experience in event coordination or related hospitality operations
- proficiency with computer systems and event management tools
- ability to manage multiple tasks and work under pressure
- excellent interpersonal skills for engaging with students and vendors
Job Qualifications
- bachelor's degree in an appropriate area of specialization and three years of appropriate experience or high school diploma and seven years of appropriate experience
- proficiency in Microsoft Office
- experience in event planning event logistics hospitality operations or event coordination preferably within higher education nonprofit or public sector
- strong organizational and time-management skills with ability to multitask and coordinate multiple events or operational activities simultaneously
- excellent interpersonal and communication skills comfortable interacting with diverse groups including students faculty staff vendors and community members
- familiarity with audiovisual equipment room-setup standards event tools or scheduling systems
- ability to anticipate needs problem-solve quickly and remain composed in fast-paced or changing environments
- experience managing inventories coordinating facilities support and overseeing building readiness
- demonstrated commitment to professionalism customer service and creating welcoming experiences for all campus visitors
Job Duties
- coordinate planning scheduling and execution of campus events including orientations workshops receptions lectures recruitment activities student programs non-credit educational offerings and community engagement events
- manage event logistics including timelines agendas RSVPs registration attendee communications room assignments and preparation of event materials
- oversee event setup and teardown including furniture arrangements staging décor signage and space readiness ensuring compliance with safety accessibility and brand standards
- serve as primary liaison for catering audiovisual IT parking and external vendors
- lead on-site event operations welcoming and directing guests monitoring spaces resolving facility audiovisual issues coordinating vendor arrivals and making real-time adjustments
- support weekend academic programming coordinating classroom readiness managing building access assisting faculty and students troubleshooting facility and technology needs
- provide front-desk support greeting visitors answering phones routing inquiries monitoring cleanliness safety and readiness of shared spaces managing building access tracking badge activations and coordinating security and IT support
- assist with administrative and financial processes including event calendars building schedules reservation requests invoice processing expenditure tracking and procurement coordination
- develop and maintain checklists guides templates and standard operating procedures for events and operations
- prepare event summaries attendance reports and operational documentation
- collaborate with academic programs facilities IT marketing security and vendors to ensure quality operations
- perform other duties as assigned to support the mission and strategic priorities of UF Jacksonville
