Job Requirements

  • Bachelor’s degree from an accredited four-year college or university
  • Three years of experience in event planning, event operations, or administrative support
  • Experience with event budgeting and contract review
  • Knowledge of event management best practices
  • Proficiency in Microsoft Office Suite
  • Working knowledge of Adobe Creative Suite
  • Excellent interpersonal and communication skills
  • Strong organizational and multitasking capabilities
  • Ability to work independently and collaboratively
  • Ability to maintain confidentiality
  • Must complete a satisfactory background check
  • Must reside in the State of California
  • Willingness to work flexible hours including evenings and weekends for events

Job Qualifications

  • Bachelor’s degree in hospitality management, business administration, communications or related field
  • Three years of progressively responsible experience in event planning or event operations
  • Experience with event budgeting and contract review
  • Proficiency in Microsoft Office Suite
  • Working knowledge of Adobe Creative Suite
  • Excellent interpersonal, written, and verbal communication skills
  • Strong organizational and multitasking abilities
  • Attention to detail and ability to prioritize multiple projects
  • Ability to work independently and within a team
  • Effective communication with diverse stakeholders
  • Demonstrated interest or ability in working in multicultural and multiethnic environments

Job Duties

  • Coordinate and execute high-profile university events including commencement and special initiatives
  • Manage multiple event projects ensuring compliance with university policies
  • Collaborate with Executive Director and Director of Events and Operations on event planning and assessment
  • Support financial operations including budget preparation, monitoring, and reconciliation
  • Liaise with vendors and contractors to secure insurance, fiscal, and compliance documentation
  • Facilitate contract review and processing of pre-event and post-event invoicing and payments
  • Ensure events reflect the university’s mission, values, and strategic priorities
