Job Qualifications
- Bachelor's degree or equivalent experience in event planning, communications, or related field
- Proven experience in event coordination and office administration
- Strong communication skills, both written and verbal
- Proficiency in event management software and Microsoft Office Suite
- Experience managing social media and email marketing campaigns
- Ability to multitask and prioritize effectively under pressure
- Strong organizational and problem-solving abilities
- Excellent interpersonal skills to build and maintain relationships
- Familiarity with office management systems and procedures
- Knowledge of SharePoint or similar collaborative platforms
Job Duties
- Support the Events Director on large-scale events, including event and program logistics, vendor and contract management, event preparation, day-of execution, follow up, and reporting
- Plan and execute internal and small external events such as publisher dinners, pre-event receptions, and networking happy hours under the direction of the Events Director
- Create and manage online event registration pages, guest registrations, nametags, and event day registration table
- Oversee and execute a marketing and design plan for each event including social media, emails, print, and event materials in collaboration with the Events Director, marketing specialist, and Business Design Desk
- Serve as main contact for nominees, honorees, speakers, and sponsors, managing communications, logistics, and event follow up
- Build and maintain strong relationships with vendors, venues, honorees, sponsors, event participants, and internal teams
- Oversee daily office operations including supplies, facilities, mail, FedEx, equipment, and internal communications
- Act as suite liaison and fire marshal, managing badges, fobs, and work orders with property manager
- Organize office culture initiatives like happy hours and outings and liaise between departments
- Maintain SharePoint folders and support onboarding, HR tasks, and help desk navigation
- Answer incoming calls and assist with general inquiries
- Assist with weekly publication logistics including press run, materials verification form, event, PSA, and house ads, special sections, and Book of Lists
- Handle mailings for circulation, honorees, sales, and editorial
