Job Qualifications

  • 3-4 years of experience in event coordination or hospitality, preferably in a professional services environment
  • Proven experience supporting large-scale events, conferences, or client programs
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) with ability to learn new technologies quickly
  • Strong communication and interpersonal skills with professionalism and diplomacy
  • Exemplary writing ability including grammar, spelling, and proofreading
  • Strong organizational and time management skills to manage multiple priorities
  • Bachelor’s degree in marketing, communications, business, hospitality management, or related field preferred
  • Experience managing branded giveaways, promotional products, or gifting programs
  • Familiarity with CRM systems and basic audio visual coordination
  • Experience using Cvent or similar event management software

Job Duties

  • Oversee the selection, ordering, and distribution of branded giveaways and client gifts, ensuring accurate tracking and inventory control
  • Research vendors and maintain relationships to ensure high-quality, brand-aligned products
  • Develop and manage processes for gifting requests to ensure consistency and timely delivery
  • Track inventory, expenses, and budgets related to promotional items and gifting
  • Collaborate with the Event Manager to plan and deliver in-person, virtual, and hybrid events
  • Coordinate logistics including venue booking, catering, AV and technology setup, guest lists, registration, and on-site support
  • Utilize event technology platforms such as Cvent to manage requests, develop event apps, coordinate communications, and support seamless event experience
  • Partner with Communications and Creative teams to prepare event materials ensuring brand consistency
  • Manage invitation distribution, track RSVPs, and maintain organized event data
  • Support post-event processes including feedback compilation, budget reconciliation, event recaps, and follow-up coordination
  • Track event metrics and propose improvements to enhance efficiency and attendee engagement
  • Provide operational support and proactive communication to the Event Manager
  • Research venues, vendors, and trends to recommend enhancements
  • Track event budgets, expenses, and vendor invoices, assisting with budget monitoring and reconciliation
  • Maintain accurate events calendar and data reporting across platforms
  • Partner with business development to align events with client engagement goals
  • Collaborate with external vendors and internal teams to manage timelines and quality
  • Perform additional duties as assigned demonstrating flexibility and commitment to firm objectives
