Job Requirements

  • Minimum 2 years event or exhibition coordination experience
  • Ability to manage multiple concurrent projects
  • Effective written and oral communication skills
  • Comfortable working outdoors
  • Proficient in Microsoft Office
  • Strong organizational and problem-solving abilities
  • Creativity and original thinking
  • Ability to work independently and in a team
  • Valid Texas driver’s license
  • Clean driving record
  • Ability to work flexible hours including evenings and weekends
  • Capable of lifting heavy objects

Job Qualifications

  • High school diploma or GED
  • At least 2 years of experience supporting or coordinating events or exhibitions in hospitality, museums, botanic gardens, or similar
  • Experience managing multiple projects concurrently
  • Excellent communication skills in written and spoken formats with staff, volunteers, and media
  • Comfortable working outdoors
  • Strong computer skills with proficiency in Microsoft Office suite
  • Outstanding organizational, problem-solving, and self-motivation skills
  • Creativity and original thinking
  • Ability to work independently and collaboratively
  • Relevant education and experience may substitute
  • Bachelor's degree in Business Administration, Event Planning, Hospitality, Liberal Arts, or related field preferred
  • Experience in university, public event venue, botanic garden, or museum setting preferred
  • Proven track record in designing and managing events or exhibitions preferred
  • Project management certification preferred
  • Experience managing art or light installations in outdoor spaces preferred
  • Experience working with tools preferred
  • Valid Texas driver’s license and clean driving record preferred

Job Duties

  • Plan, facilitate, and execute annual seasonal exhibitions including Fortlandia, Luminations, and Ice Age in the Wild
  • Manage exhibition timelines, track expenses, and serve as liaison with vendors and team members
  • Oversee installation, maintenance, troubleshooting, and breakdown of exhibitions ensuring safety and quality
  • Collect and submit vendor and artist financial documentation following University procedures
  • Prepare post-project reports and documentation
  • Participate in concept development for new events, exhibitions, and programming
  • Support planning and execution of guest-facing programs and events
  • Coordinate event logistics including setup, breakdown, and vendor coordination
  • Schedule Guest Experience Associates (GEAs) and event staff in collaboration with Events Manager
  • Ensure exhibitions and events operate cohesively during peak seasons
  • Train and direct GEAs, temporary staff, and volunteers assisting with exhibitions and events
  • Coordinate volunteer support with Volunteer Manager
  • Communicate schedules, expectations, and updates across departments
  • Provide on-site management during exhibition runs and events offering technical, staff, and guest support
  • Troubleshoot installation, equipment, and visitor flow issues
  • Maintain a visible presence during high traffic periods
  • Participate in interdepartmental meetings and presentations
  • Support exhibition-related programming as needed
  • Perform other duties as assigned
