Job Requirements

  • Active DoD Secret Clearance or above
  • Degree in event management, hospitality, communications or related field preferred or 5 years experience organizing large scale events
  • Proficiency in Microsoft Office and event management software
  • Excellent oral and written communication skills
  • Ability to work flexible hours including evenings and weekends
  • Strong organizational and multitasking abilities
  • Knowledge of military protocol preferred
  • Ability to work independently and in teams
  • Detail oriented with strong problem-solving skills

Job Qualifications

  • Active DoD Secret Clearance or above
  • Possess a degree preferably in event management, hospitality, communications or a related field, or at least 5 years of experience planning, organizing and executing large (300+ attendees) events including conferences, conventions, symposiums and training sessions
  • Strong organizational skills with ability to manage multiple tasks and priorities concurrently
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office suite and event management software
  • Knowledge of military customs, traditions and protocol (preferred)
  • Flexibility to work irregular hours including evenings and weekends
  • Ability to think critically, pay attention to detail and possess a self-starter mentality
  • Proficiency in digital communication tools including Google Workspace
  • Ability to work autonomously in a highly dispersed organization
  • Strong time management skills and adaptability to changing priorities and fast-paced environments

Job Duties

  • Support planning high-quality engagements with industry, government and academia stakeholders including prep sessions, protocol support and detailed logistics to ensure events run smoothly
  • Coordinate all logistical aspects of events such as venue selection, equipment rentals, transportation arrangements, catering services, accommodations and audio-visual requirements ensuring smooth execution within budget constraints
  • Develop detailed event timelines and schedules outlining key tasks, deadlines and responsibilities
  • Coordinate with vendors or suppliers to secure services and oversee delivery of goods and services in accordance with event requirements
  • Collaborate with AFWERX leadership, event point of contact and the Strategic Communications team to promote events and generate interest and participation
  • Ensure adherence to military protocol, traditions and etiquette during official ceremonies and events
  • Participate in discussions and meetings to gather critical information and provide tactical and strategic knowledge to inform team members and further AFWERX goals
  • Identify potential risks and hazards associated with events and implement safety measures to mitigate risks
  • Conduct post-event evaluations including metrics to assess success and implement corrective actions
  • Research, compile, propose, coordinate and update event schedules for current and following year in the government database or through operations manager
