Job Requirements
- Bachelor's degree in Event Management, Hospitality Management, Communications, Business Administration, or a related field preferred
- Equivalent professional experience in event planning and management may be considered in lieu of a degree
Job Qualifications
- 5+ years of experience planning and executing large-scale events (300+ attendees), including conferences, conventions, symposiums, or training events
- Strong organizational and project management skills with the ability to manage multiple priorities simultaneously
- Excellent communication and interpersonal skills when working with internal teams, vendors, and stakeholders
- Experience coordinating event logistics, vendor management, and on-site operations
- Proficiency with Microsoft Office and event management tools
- Proficiency with digital collaboration tools such as Google Workspace
- Ability to work flexible hours, including evenings and weekends, to support event execution
- Strong problem-solving abilities with attention to detail and a proactive approach to planning
- Ability to operate effectively in fast-paced environments and meet tight deadlines
- Ability to work independently in a distributed team environment
Job Duties
- Support the planning and execution of events, conferences, workshops, and stakeholder engagements involving industry, government, and academic partners
- Coordinate all logistical aspects of events, including venue selection, equipment rentals, transportation, catering, accommodations, and audio-visual requirements
- Develop detailed event schedules and timelines, outlining responsibilities, deadlines, and deliverables to ensure successful execution
- Coordinate with vendors and suppliers to secure services and manage event logistics and delivery requirements
- Collaborate with communications teams and leadership to promote events and increase participation through appropriate communication channels
- Ensure events adhere to applicable protocols, standards, and organizational guidelines
- Participate in planning meetings and coordination discussions to support event development and execution
- Identify potential risks related to event planning and develop contingency plans and safety measures
- Provide on-site event coordination and logistical support during events
- Conduct post-event evaluations and collect performance metrics, identifying opportunities for improvement
- Maintain and update event schedules and planning calendars for upcoming events and initiatives
- Support the integration of events with broader organizational initiatives and strategic communications efforts
