Job Requirements

  • Bachelor’s degree in event management, hospitality management, communications, business administration, or a related field preferred
  • Equivalent professional experience in event planning and management may be considered in lieu of a degree
  • 5+ years of experience planning and executing large-scale events (300+ attendees)
  • Strong organizational and project management skills
  • Excellent communication and interpersonal skills
  • Experience coordinating event logistics, vendor management, and on-site operations
  • Proficiency with Microsoft Office and event management tools
  • Proficiency with digital collaboration tools such as Google Workspace
  • Ability to work flexible hours, including evenings and weekends
  • Strong problem-solving abilities
  • Ability to operate effectively in fast-paced environments
  • Ability to work independently in a distributed team environment

Job Qualifications

  • 5+ years of experience planning and executing large-scale events (300+ attendees), including conferences, conventions, symposiums, or training events
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously
  • Excellent communication and interpersonal skills when working with internal teams, vendors, and stakeholders
  • Experience coordinating event logistics, vendor management, and on-site operations
  • Proficiency with Microsoft Office and event management tools
  • Proficiency with digital collaboration tools such as Google Workspace
  • Ability to work flexible hours, including evenings and weekends, to support event execution
  • Strong problem-solving abilities with attention to detail and a proactive approach to planning
  • Ability to operate effectively in fast-paced environments and meet tight deadlines
  • Ability to work independently in a distributed team environment

Job Duties

  • Support the planning and execution of events, conferences, workshops, and stakeholder engagements involving industry, government, and academic partners
  • Coordinate all logistical aspects of events, including venue selection, equipment rentals, transportation, catering, accommodations, and audio-visual requirements
  • Develop detailed event schedules and timelines, outlining responsibilities, deadlines, and deliverables to ensure successful execution
  • Coordinate with vendors and suppliers to secure services and manage event logistics and delivery requirements
  • Collaborate with communications teams and leadership to promote events and increase participation through appropriate communication channels
  • Ensure events adhere to applicable protocols, standards, and organizational guidelines
  • Participate in planning meetings and coordination discussions to support event development and execution
  • Identify potential risks related to event planning and develop contingency plans and safety measures
  • Provide on-site event coordination and logistical support during events
  • Conduct post-event evaluations and collect performance metrics, identifying opportunities for improvement
  • Maintain and update event schedules and planning calendars for upcoming events and initiatives
  • Support the integration of events with broader organizational initiatives and strategic communications efforts
