Job Requirements

  • High school diploma or equivalent
  • Minimum 2-3 years supervisory experience in event setup
  • Ability to frequently lift, push, and pull up to 50 lbs
  • Able to stand and walk for long periods
  • Capable of climbing ladders, bending, reaching, and working at heights
  • Availability to work nights, weekends, holidays, and extended shifts
  • Ability to work flexible schedule including late nights, early mornings, and be available 7 days per week
  • Valid driver’s license

Job Qualifications

  • High school diploma or equivalent
  • Associate degree or hospitality coursework preferred
  • Minimum 2-3 years supervisory experience in event setup within convention centers, hotels, or public assembly venues
  • Familiarity with Banquet Event Orders, diagrams, and space planning tools such as Social Tables or AutoCAD
  • Experience managing high-volume meeting space turnovers and multiple setups
  • Excellent organizational and time management skills
  • High attention to detail and spatial awareness
  • Strong interpersonal and communication skills
  • Bilingual English/Spanish preferred
  • Ability to work calmly under pressure and lead teams
  • Service-driven attitude with proactive guest service approach
  • Ability to operate and train others on carts, dollies, lifts, and handling equipment
  • Understanding of common meeting room setups including banquet, classroom, theater, cabaret, and U-shape
  • Proficient in Microsoft Office Suite
  • Experience with event management software preferred
  • Valid driver’s license
  • OSHA 10- or 30-Hour certification preferred
  • Certified Meeting Room Setup (CMRS) preferred
  • Forklift certification preferred
  • Crowd Manager Training certification preferred

Job Duties

  • Supervise, train, and direct full-time, part-time, and temporary labor for event space setup and breakdown
  • Review and interpret Banquet Event Orders, event resumes, layouts, and diagrams to ensure accurate room sets
  • Conduct pre-shift team huddles and daily briefings to align on event timelines, safety protocols, and objectives
  • Ensure all setups include appropriate furniture, linens, staging, signage, and specialty equipment
  • Conduct pre-event inspections to confirm accuracy, cleanliness, and readiness of each event space
  • Adjust room sets promptly in response to last-minute client needs
  • Lead or support turnovers of rooms between functions focusing on efficiency and timeliness
  • Coordinate multiple event turnovers throughout the day, especially in high-volume environments
  • Serve as the primary on-shift point of contact for the setup team collaborating with Event Managers, Banquets, and AV teams
  • Maintain clean, safe, and organized back-of-house and equipment storage areas
  • Track event-related inventory and report damages or shortages
  • Prepare and maintain billable documentation for labor and equipment usage
  • Lead by example during peak periods assisting with physical setup including lifting and moving heavy equipment
  • Train new staff on setup standards, safe material handling, customer service, and SOP compliance
  • Implement downtime strategies including deep cleaning and equipment repairs
  • Provide operational improvement recommendations
  • Collaborate with Housekeeping, Event Managers, and Scheduling team to develop labor plans based on event forecasts
