Job Requirements

Job Qualifications
- A college degree is not required but candidates should have a combination of education and experience totaling six years or more
- experience in performing arts and large-scale events such as weddings, galas or corporate meetings and conventions
- strong understanding of processes involved in planning and executing special events in a multi-functional environment
- familiarity with food and beverage services for conference centers, hotels, performance halls or similar environments, with special consideration for catering experience
- experience managing large groups including guests, clients, staff, and volunteers
- strong attention to detail and customer-service focused
- ability to communicate confidently with users, vendors, and colleagues at all levels
- welcoming and supportive of diverse groups
- proficient knowledge of computer software including Windows, Mac OS X, Microsoft Office Suite, Adobe PDF, and Google Workspace
- experience working in performance or exhibition halls or similar venues
- ability to manage volunteers and part-time staff calmly and clearly
- proficient with venue management and room design software such as Momentus, Social Tables
- familiarity with audiovisual equipment and technical services
- flexible and team-oriented work style
- ability to quickly learn new systems and maintain high organizational standards
- drive for results and commitment to timeliness
- skilled in proofreading for spelling and grammar accuracy
Job Duties
- Schedule tour advance calls and fulfill front of house, security, parking, and catering needs of each event as needed
- work closely with the Director of Event Services on all shows and events in the Performance Hall and Exhibition Hall
- conduct tours and schedule meetings to ensure success, working closely with clients to plan and execute event details
- collaborate with the event services team to plan and execute full facility events
- create fire-code compliant floor plans and manage necessary adjustments
- coordinate technical needs, furniture, event flow, timelines, setup, labor, and resources internally and externally
- oversee coordination, management, and training of volunteer ushers, front of house staff, full-time event supervisors, and house/venue managers
- maintain active involvement in all events from planning through teardown and invoicing, acting as an on-site supervisor when necessary
- assist Director of Event Services in production budget creation and implementation including labor, supplies, and vendor costs
