Job Requirements

  • Bachelor's degree
  • two or more years of relevant work experience in similar roles
  • previous event planning experience
  • preferred experience in luxury brand markets
  • ability to work in a shared noisy environment
  • ability to handle frequent changing priorities and deadlines
  • willingness to work schedules exceeding 40 hours per week as needed
  • ability to move 10lbs daily and lift up to 50lbs weekly
  • capable of traveling by foot, car, bus, or airplane and endure standing/waiting periods
  • strong organizational and communication skills
  • proficiency with CI/TY or Delphi
  • knowledge of legal/contractual practices
  • experience in client-facing event coordination roles

Job Qualifications

  • Bachelor's degree
  • two or more years of relevant work experience in similar roles

  • preferred experience within luxury brand markets
  • advanced written, verbal, and interpersonal communication skills
  • ability to prioritize and organize work assignments
  • knowledge of CI/TY or Delphi software
  • understanding of staffing guidelines for event setups
  • familiarity with top accounts for the hotel
  • knowledge of legal and contractual agreements
  • strong strategic business leadership skills
  • ability to motivate teams and manage multiple projects under tight deadlines
  • capacity to provide a culture of accountability
  • experience facilitating meetings and aligning organizational goals

Job Duties

  • Create detailed event orders to meet client specifications
  • manage room blocks, food and beverage requirements, meeting room setups, billing, and additional client needs
  • communicate and enforce contractual agreements related to meeting space, food and beverage, and special concessions
  • collect attrition charges owed
  • ensure that all payments, guest checks, master folios, and advanced deposits are submitted to accounting
  • coordinate with appropriate departments for successful catering and group business
  • post Rewarding Events points after event conclusion
  • collaborate with culinary operations on the development and implementation of custom menus
  • maintain accurate documentation including Banquet Event Orders, group resumes, and rooming lists
  • facilitate event order and group resume meetings
  • organize and conduct site visits, pre-planning, pre-conference, and post-conference meetings
  • act as on-site contact for clients to address challenges or concerns
  • presence required at start of all functions and during meal service
  • maximize revenue through upselling of hotel outlets including restaurant, spa, and gallery
  • work with vendors to ensure client satisfaction
  • generate thank you notes and service evaluations for groups
  • greet clients on arrival days
  • utilize required systems and platforms to detail and track group progress
  • maintain accurate and organized files and sales platform records
  • participate in sales and catering conference calls
  • complete required reporting and documentation
