Job Requirements

  • Bachelor's degree or equivalent experience
  • minimum of 3 years of relevant experience
  • strong customer service orientation
  • excellent communication and organizational skills
  • proficiency with scheduling software and Microsoft Office
  • ability to work independently and manage multiple priorities
  • flexibility to work early mornings, evenings, and weekends
  • ability to perform physical tasks including lifting 50-75 lbs, standing, walking, sitting for long periods, kneeling, squatting, stooping, and using stairs or ladders
  • authorization to work in the United States
  • successful completion of background and reference checks
  • submission of official transcripts and certifications upon employment

Job Qualifications

  • Bachelor's degree in Event Management, Hospitality, Communications, or related field or equivalent experience
  • minimum of 3 years of experience in event planning, facilities management, or related field
  • strong customer service orientation and problem-solving skills
  • excellent communication, interpersonal, and organizational abilities
  • experience with scheduling software and Microsoft Office Suite
  • ability to work independently and manage multiple priorities under tight deadlines
  • willingness to work a flexible schedule including evenings and weekends
  • experience in a higher education or public sector setting preferred
  • familiarity with room scheduling and event management platforms such as EMS and 25Live preferred
  • supervisory experience preferred
  • budget management and revenue tracking experience preferred

Job Duties

  • Serve as the primary point of contact for all non-student internal and external events
  • manage scheduling, coordination, and execution of events across multiple campus venues
  • develop and enforce event policies in compliance with college, local, and state regulations
  • ensure smooth event operations including space setup, technology needs, and vendor coordination
  • work flexibly, including early mornings, nights, and weekends as needed
  • prepare reports and track data on facility usage, event performance, and revenue
  • meet with internal and external clients to assess event needs and provide logistical support
  • coordinate services with college departments such as Facilities, IT, Custodial, Campus Safety, and Marketing
  • generate accurate contracts, service quotes, and bids
  • serve as the on-site representative during events, resolving issues as they arise
  • maintain strong communication and relationships with clients before, during, and after events
  • interpret and explain LWTech policies regarding event logistics, safety, and compliance
  • generate new business leads and meet annual revenue targets
  • collaborate with Marketing in the development of marketing strategies and promotional materials
  • represent LWTech at community events to build relationships with external partners
  • promote event services through digital, print, and in-person engagement
  • develop and maintain content on the Event Services webpage
  • review and prioritize event space requests to optimize space usage and ensure compliance
  • coordinate support services for complex events including multi-day conferences and workshops
  • provide basic technical support and coordinate with IT for multimedia and A/V needs
  • offer support via phone, email, and remote tools for events and conference-related issues
  • track inventory and manage expendable event items
  • process billing and payments in collaboration with the Business Office
  • conduct quarterly department meetings
  • regularly inspect event spaces and address maintenance issues
  • perform additional duties as assigned
